Introduction

These Terms of Service govern access to and use of the Journal of Robotics and Intelligent Systems (JRIS) website, manuscript-submission system, editorial services, publication services, and related online facilities.

In these Terms, “JRIS,” “the Journal,” “we,” “us,” and “our” refer to the Journal of Robotics and Intelligent Systems and Birmand Scientific Publishing Ltd, as applicable.

By accessing the website, registering an account, submitting a manuscript, accepting an editorial or reviewer assignment, or purchasing a publication service, you agree to these Terms and the applicable Journal policies.

About JRIS

The Journal of Robotics and Intelligent Systems is an international, peer-reviewed, open-access scholarly journal covering robotics, intelligent systems, automation, autonomous systems, mechatronics, control engineering, robot perception, navigation, human–robot interaction, and related interdisciplinary fields.

Artificial intelligence, machine learning, computer vision, embedded systems, and related technologies are considered where they make a direct and substantial contribution to robotics, autonomous systems, or intelligent machines.

Published articles are freely accessible to readers, subject to the copyright and licensing terms stated with each article.

Eligibility and Account Registration

Users may be required to create an account to submit manuscripts, participate in peer review, perform editorial duties, or access certain Journal services.

When registering, you agree to:

  • Provide accurate, complete, and current information;

  • Maintain only accounts that you are authorised to use;

  • Keep your username and password confidential;

  • Notify JRIS if you suspect unauthorised access to your account;

  • Avoid impersonating another person or misrepresenting your identity, qualifications, affiliation, or authority; and

  • Update your account information when it changes.

You are responsible for activities performed through your account unless those activities resulted from a security failure attributable to the Journal.

JRIS may suspend or close an account that contains false information, is used improperly, compromises website security, or violates these Terms or the Journal’s policies.

Manuscript Submissions

By submitting a manuscript to JRIS, the corresponding author confirms on behalf of all authors that:

  • The manuscript is original and has not been published previously, except in a form permitted by the Journal’s policies;

  • The manuscript is not simultaneously under consideration by another journal;

  • All listed authors have made an appropriate contribution and approved the submission;

  • No eligible contributor has been improperly excluded from authorship;

  • The manuscript does not contain plagiarism, fabricated or falsified data, manipulated citations, or unlawfully reproduced material;

  • All necessary ethical approvals, informed-consent statements, permissions, and disclosures have been obtained;

  • Conflicts of interest and sources of financial support have been disclosed;

  • Information supplied during submission is accurate; and

  • The authors have authority to submit the manuscript and grant the publication rights required by JRIS.

Authors remain responsible for the accuracy, originality, integrity, legality, and scientific validity of their work.

Submission does not guarantee external peer review, acceptance, publication, indexing, citation, or inclusion in any external database.

Editorial Assessment and Peer Review

Manuscripts are evaluated according to the Journal’s scope, editorial requirements, ethical policies, scientific quality, originality, and peer-review procedures.

JRIS may:

  • Reject a manuscript during initial editorial screening;

  • Request revisions, supporting data, ethical documentation, or clarification;

  • Submit a manuscript to independent external peer review;

  • Obtain additional reviews when necessary;

  • Conduct similarity, image-integrity, authorship, or research-integrity checks;

  • Correct, reject, withdraw, or retract content in accordance with Journal policies; and

  • Discontinue consideration when a serious policy violation or integrity concern is identified.

Editorial decisions are independent of an author’s ability to pay an Article Processing Charge. Payment of an APC does not guarantee acceptance, favourable review, expedited review, or preferential editorial treatment.

Peer-review reports, submitted manuscripts, and editorial communications are confidential in accordance with the Journal’s double-anonymous peer-review policy.

Article Processing Charges

JRIS does not charge:

  • A manuscript-submission fee;

  • An initial editorial-assessment fee; or

  • A separate peer-review fee.

Inaugural Issue

Articles accepted and formally assigned by JRIS to its inaugural issue receive a complete Article Processing Charge waiver.

The APC for eligible inaugural-issue articles is: £0 GBP

Possible Second-Issue Waiver

JRIS may extend the complete APC waiver to articles accepted and formally assigned to the second issue.

Any extension will be announced on the Journal website and confirmed in writing with eligible authors before payment becomes due. Unless a second-issue waiver is formally announced, authors should not assume that it applies.

Standard APC

After the introductory waiver period, the standard Article Processing Charge is: £200 GBP per accepted article

The applicable APC and any approved waiver or discount will be confirmed before payment becomes due. No APC is payable merely for submitting a manuscript or receiving peer review.

Payment Arrangements

Where an APC applies, payment instructions will be issued only after:

  • The manuscript has been formally accepted for publication;

  • The applicable APC has been confirmed;

  • Any approved waiver or discount has been applied; and

  • The author or paying institution has received an official payment request.

Payments may be handled by a bank, financial institution, or payment service provider selected by Birmand Scientific Publishing Ltd.

The identity of the applicable payment provider, the amount payable, the currency, and any transaction instructions will be disclosed before payment is requested.

The payer is responsible for:

  • Providing accurate billing information;

  • Ensuring that the selected payment method is authorised;

  • Reviewing the final amount before completing payment; and

  • Retaining the invoice, receipt, or transaction confirmation.

Birmand Scientific Publishing Ltd does not normally receive or store complete payment-card or online-banking credentials. Such information is normally collected directly by the relevant payment provider under its own security, privacy, and transaction terms.

Use of a payment provider does not modify the JRIS APC, waiver, or refund rules. Birmand Scientific Publishing Ltd remains responsible for administering the Journal’s published fee and refund policies.

Waivers and Discounts

Authors experiencing genuine financial difficulty may request an APC waiver or discount.

Waiver and discount requests are handled separately from academic evaluation. Editors and reviewers responsible for deciding the manuscript’s academic merit should not base their decisions on an author’s ability to pay.

An approved waiver or discount must be confirmed in writing before payment is made. A waiver cannot ordinarily be applied retrospectively after the payer knowingly completes payment, except where an administrative error occurred or applicable law requires otherwise.

Refunds

Refund eligibility and procedures are governed by the JRIS APC and Refund Policy.

A refund may be approved where:

  • The same APC was paid more than once;

  • An incorrect amount was collected because of an administrative or payment error;

  • Payment was collected despite a waiver or discount that JRIS had already confirmed in writing;

  • JRIS is unable to provide the paid publication service for reasons not caused by the author; or

  • A refund is required by applicable law.

Once substantive production work has begun, including copyediting, typesetting, layout preparation, DOI preparation, metadata preparation, or final publication processing, an APC is normally non-refundable unless one of the circumstances above applies.

Withdrawal after acceptance or after production has started does not automatically create a right to a refund.

Nothing in these Terms limits statutory rights that cannot lawfully be excluded.

Authorisation to Publish

Following acceptance, authors may be required to complete a publication agreement or confirm the licence under which the article will be published.

JRIS publishes scholarly articles under the Creative Commons Attribution 4.0 International Licence (CC BY 4.0).

Under this licence, users may share and adapt the published work for any lawful purpose, provided that appropriate credit is given, a link to the licence is supplied, and changes are identified.

Authors retain copyright in their articles and grant JRIS the right of first publication, subject to the applicable publication agreement.

Author Responsibilities After Acceptance

Acceptance remains conditional upon authors:

  • Responding appropriately to production queries;

  • Reviewing and returning proofs within the requested period;

  • Correcting factual or production errors;

  • Completing required publication documentation;

  • Paying any applicable APC or receiving a confirmed waiver; and

  • Continuing to comply with the Journal’s ethical and editorial policies.

JRIS may delay publication while required information, documentation, corrections, or payment remains outstanding.

Corrections, Retractions, and Withdrawal

Authors must promptly notify JRIS if they discover a material error or ethical concern affecting a submitted or published article.

JRIS may publish corrections, retraction notices, expressions of concern, or other updates necessary to preserve the scholarly record.

Once published, an article will not ordinarily be removed from the website. Retracted articles normally remain available with a clear notice explaining their status.

Withdrawal after acceptance or after production has started does not automatically entitle an author or payer to a refund.

Website Content and Acceptable Use

The JRIS website may be used only for lawful scholarly, educational, editorial, and informational purposes.

Users must not:

  • Attempt to gain unauthorised access to accounts, servers, or databases;

  • Introduce malware, malicious code, automated attacks, or harmful material;

  • Interfere with website operation or security;

  • Harvest personal information or email addresses without a lawful basis;

  • Use automated tools in a manner that places an unreasonable burden on the website;

  • Upload unlawful, defamatory, fraudulent, infringing, or deliberately misleading material;

  • Manipulate the editorial or peer-review process;

  • Falsify an identity, affiliation, review, citation, or academic credential;

  • Attempt improperly to identify anonymous reviewers; or

  • Reproduce content contrary to its copyright or licence.

JRIS may restrict access when reasonably necessary to protect users, editorial confidentiality, system security, or publication integrity.

Intellectual Property in the Website

Unless otherwise indicated, the JRIS name, journal branding, website design, logos, editorial materials, policies, and non-article content are owned by or licensed to Birmand Scientific Publishing Ltd.

Nothing in these Terms transfers ownership of the Journal’s trademarks, branding, website, or proprietary materials to a user.

Published articles remain subject to the copyright and licence displayed with each article.

Third-Party Services and Links

The website may use or link to third-party services, including website-hosting providers, financial institutions, payment processors, DOI-registration services, preservation services, ORCID, email providers, and external databases.

JRIS does not control every independently operated third-party service and is not responsible for its availability, content, security, or independent privacy practices.

Users should review the relevant provider’s terms and privacy notice before using an external service.

Website Availability

JRIS aims to maintain reliable access to its website and published content but cannot guarantee uninterrupted or error-free availability.

Access may be temporarily limited because of:

  • Maintenance or software updates;

  • Hosting or network failures;

  • Security incidents;

  • Circumstances outside our reasonable control; or

  • Legal, regulatory, or technical requirements.

We may update, modify, discontinue, or replace website features when reasonably necessary.

Disclaimer

Published articles express the findings and views of their authors. Publication does not necessarily mean that JRIS, its publisher, editors, reviewers, or staff endorse every conclusion, method, statement, product, or opinion contained in an article.

Users are responsible for independently evaluating published information before relying on it. Journal content is provided for scholarly and informational purposes and should not be treated as personalised legal, medical, financial, engineering-safety, or other professional advice.

Nothing in these Terms excludes responsibilities that cannot legally be excluded.

Limitation of Liability

To the fullest extent permitted by applicable law, JRIS and Birmand Scientific Publishing Ltd will not be liable for indirect, incidental, consequential, or special loss arising from use of the website, interruption of access, reliance on published content, or unauthorised third-party activity.

Where liability relating to a paid publication service cannot legally be excluded, the total liability of Birmand Scientific Publishing Ltd will ordinarily be limited to the amount paid for the service giving rise to the claim.

This limitation does not apply where liability cannot lawfully be limited or excluded, including liability for fraud, fraudulent misrepresentation, or death or personal injury caused by negligence.

Privacy

Personal information is processed in accordance with the JRIS Privacy Policy.

Payment-related information may be processed by a financial institution or payment service provider selected by Birmand Scientific Publishing Ltd. The applicable provider will be identified before payment information is submitted.

Changes to These Terms

JRIS may revise these Terms to reflect changes in its services, publication practices, payment arrangements, or legal obligations.

The updated Terms will be published on this page with a revised date. Material changes will not normally be applied retrospectively to deprive an author or payer of rights already agreed for a completed transaction.

Governing Law

These Terms are governed by the laws of England and Wales.

The courts of England and Wales will have jurisdiction over disputes arising from these Terms, subject to any mandatory rights available under applicable law, including any rights that may apply in a user’s country of residence.
